Types of expense categories

Beyond obvious costs such as staff salaries or material purchases, a business has many other operating expenses:

  • Administrative expenses: accounting, legal services, office or workspace rent.
  • Marketing and promotion: Instagram ads, social media management, business cards, or content creation.
  • Household/office supplies: consumables for the office/salon (tea, coffee, cleaning supplies, household chemicals).
  • Maintenance and subscriptions: cloud services, CRM systems, internet, website domain, or equipment maintenance.
  • Transport costs: logistics, courier services, or fuel when needed.

Suppose your beauty salon pays monthly for a booking system and cleaning. Instead of recording these as "miscellaneous", you create two categories:

  • "Software & subscriptions" — for automatic monthly software charges.
  • "Cleaning" — for cleaning service costs.

This lets you run a Profit & Loss (P&L) report at month end and see how much overhead you carry, helping you make informed budget decisions.

If an expense entry was posted for a category, that category cannot be deleted.
