LedgerBoss is business management software for small service businesses. It brings client appointments, staff calendars, a client database, a service catalog, inventory and material usage, expenses, payroll, and financial reports into one system.

You can use it on Android, iPhone, iPad, or in a web browser, so the same business records are available in the salon, on the road, or at a desk.

Who is LedgerBoss designed for?

LedgerBoss is designed for owners and small teams that sell services, not for large retail or manufacturing companies. It fits a business that books clients, delivers services, tracks staff, uses materials, and needs a clear view of income and expenses.

It works for a solo specialist and for a small business with employees, using system roles such as owner, admin, accountant, and employee.

What types of businesses can use LedgerBoss?

LedgerBoss is built for small service businesses. That includes beauty salons, hair salons, barbershops, nail, brow, and lash studios, cosmetology, massage, and SPA rooms, tattoo and piercing studios, yoga, fitness, dance, and personal training studios, photo studios, schools and training centers, car washes, detailing shops, and other teams that manage clients, services, employees, appointments, inventory, and finances.

If your day revolves around bookings, people, and materials rather than a retail checkout, LedgerBoss is likely a fit.

Can I manage multiple businesses with one account?

Yes. You sign in once and can own more than one business without separate logins. The Free plan includes 1 owned business. A Paid plan lets you pay per owned business, up to 5.

Each business keeps its own clients, calendar, staff, inventory, and reports. You can also join another owner’s business with an invite code.

Does LedgerBoss work on iPhone and Android?

Yes. LedgerBoss is available on Android and iPhone, and it also runs on iPad. The same account works in the web app, so you are not limited to a phone.

Download the mobile app from Google Play or the App Store, or open the web app at app.ledgerboss.app.

Can I use LedgerBoss from a computer?

Yes. LedgerBoss has a web app at app.ledgerboss.app. You can register, manage the calendar, work with clients, and review business data from a browser on a computer.

Subscriptions are purchased in the Android or iOS app. The website and web app show plan comparison; billing itself is handled in the mobile stores today.

Can I use LedgerBoss without accounting experience?

Yes. LedgerBoss is operational accounting for a small service business, not a replacement for a tax accountant. You record appointments, completed services, material usage, expenses, and payouts, then review the results in reports.

You do not need bookkeeping training to start. Profit and loss, cash flow, and related financial reports are available on the Paid plan if you want a clearer picture of the numbers.

Appointments and scheduling

Can I manage appointments with LedgerBoss?

Yes. LedgerBoss includes a service calendar for booking clients, assigning a specialist, and tracking appointment status. Owners and admins can create, complete, and cancel appointments.

Employees can view the calendar. LedgerBoss is appointment scheduling for service work, not a shift-roster tool for clock-in hours or time-off requests.

Is online booking included in the Free plan?

No. Online booking — a public link where clients choose a service, date, and specialist — is a Paid feature. Free still includes the staff calendar so your team can create and manage appointments inside LedgerBoss.

Paid features include a 30-day trial once per account, so you can try online booking before you subscribe.

Can I create employee schedules?

You can manage each employee’s appointment calendar: who is booked, at what time, and for which service. Day, week, and month views, plus a filter by employee, make it easy to see the workload.

LedgerBoss does not replace HR shift scheduling. It is built around client appointments and the specialists who deliver them.

Can employees see their own appointments?

Yes. Team members with the Employee role can open the calendar in view-only mode and see their own appointments. They cannot create, complete, or cancel bookings.

Owners and admins see the full team calendar and can filter it by employee when they need a single specialist’s day.

Can I manage appointments for multiple employees?

Yes. One calendar covers the whole team. You can book different specialists, switch between day, week, and month views, and filter the schedule by employee.

Services can be linked to business roles, so you assign work to people who actually provide that service.

Can I view appointments by day, week, or month?

Yes. LedgerBoss includes day, week, and month calendar views, plus a daily schedule list. Canceled and reversed services stay off the daily schedule so the working day stays readable.

You can open a specialist from the daily view to focus on that person’s bookings.

Can clients be added to appointments?

Yes. When you create a service appointment you attach a client from your directory, choose the service, specialist, and time, and keep that visit on the client’s history.

That way scheduling and the client database stay in one place instead of a separate booking notebook.

Clients

Can I store customer information?

Yes. LedgerBoss has a client directory with client cards for contact details and related visits. Owners and admins can add and update clients. Only the owner can block or delete a client.

The Free and Paid plans both include the client directory, with plan limits on how many clients you can store.

Can I see a client’s visit history?

Yes. Each client card keeps visit history from appointments, so you can see past services instead of searching the calendar. A Client report adds visit counts, revenue per client, and a chronological log.

History is most useful after you complete appointments, because completed visits are what the reports summarize.

Can I keep customer service history?

Yes. Completed appointments stay attached to the client, including the service, specialist, and status. If a visit is canceled or reversed, that status is visible in history instead of disappearing without a trace.

This is service history for your team, not an online client portal. Clients do not log in to LedgerBoss.

Can I manage clients and appointments in one place?

Yes. That is the core of LedgerBoss: a client directory, a service catalog, and a calendar that books those clients for those services. You do not need a separate booking app plus a spreadsheet of names.

Add the client once, book the visit, complete the service, and the same record feeds history and reports.

Employees and staff

Can I manage employees in LedgerBoss?

Yes. The owner can add employees, invite them with a code, change their system role, and block or remove them. Invited people join with their own login, so you never share the owner account.

The Free plan includes up to 3 employees per business. The Paid plan includes up to 10.

Can employees have different roles?

Yes. LedgerBoss uses two kinds of roles. System roles control access: owner, admin, accountant, and employee. Business roles (specializations) control which services a person can provide on the calendar.

System roles are built in and cannot be renamed. You create business roles when you set up the business, then assign them to people and to services.

Can I create schedules for employees?

You schedule employees by booking services on their calendar. Filter by person to see one specialist’s day, or keep the shared view for the whole team.

Admins and owners manage bookings. Employees see their own appointments in view-only mode.

Can employees see only their own appointments?

Yes, for the Employee role. That role can view the calendar but does not have permission to see the full staff list’s bookings the way an owner or admin can.

Owners and admins see every specialist and can still filter down to one person. Accountants can view the calendar for the team but cannot create or complete appointments.

What can an administrator do?

An admin runs day-to-day operations: calendar bookings, completing services, the client directory (without block or delete), materials, and warehouse receipts and sales when the plan allows.

Admins do not manage employees, record salary payments, or open profit and loss and cash flow. Those stay with the owner, and some financial tools are also available to the accountant.

Inventory and materials

Can I track inventory?

Yes, on the Paid plan. LedgerBoss tracks materials in groups, a catalog, warehouse receipts, material sales, and stock on hand. Purchases are accounted at average cost, so stock value stays consistent as you buy more.

The Free plan focuses on calendar, clients, services, and basic analytics. Inventory, suppliers, and stock reports are Paid features. You can try Paid features free for 30 days.

Can I track materials used for services?

Yes. Services can have material specifications. When an owner or admin completes an appointment, they can open material consumption, review the list, adjust quantities, and save. Saving records usage and writes the materials off inventory.

LedgerBoss does not silently deduct stock the moment a visit is marked complete. You confirm what was actually used.

Can I create material lists for services?

Yes. Each service can have a specification: the materials and planned consumption norms for that work. When you later complete the appointment, LedgerBoss can load that list so you start from the usual recipe instead of a blank form.

You can still add extra materials or change quantities for that visit if the real usage was different.

Can I adjust the materials used for a completed service?

You review and adjust quantities on the material consumption step before the usage is saved. That is the moment to match the list to what was actually used, including extra items that were not in the specification.

After a service is completed, reversing it (storno) returns written-off materials to stock. Only the business owner can reverse a completed appointment.

Income and expenses

Can LedgerBoss track income and expenses?

Yes. Income comes from completed services, material sales, and related amounts such as tips. On the Paid plan you record expenses by category, employee salary payments, and then review profit and loss and cash flow.

The Free plan covers the calendar and basic analytics. Full expense tracking and financial reports are Paid.

Can I track business revenue?

Yes. Completing appointments and recording material sales builds revenue in LedgerBoss. Reports can show revenue by service, by employee, and in profit and loss for the period.

Figures follow what you actually close in the app, so consistent completion of visits is what keeps revenue accurate.

Can I track business expenses?

Yes, on the Paid plan. You create expense categories and record expenses against them. Material write-offs and salary payments also feed the cost side of the business.

Owners and accountants handle expenses and payroll. Admins do not record salary payments or open the main financial reports.

Can I see cash flow?

Yes, on the Paid plan. The Cash Flow report shows money in and money out by transaction date, with opening and closing balances, net flow, and a daily detail list.

Like P&L, cash flow is for the owner and accountant. It reflects the dates of operations you recorded, not a bank feed.

Can I view daily business results?

Yes. Daily Close is a Paid report for the owner and accountant. It summarizes one calendar day: completed services, product sales, payroll, supply costs, and the day’s result.

It is meant for wrapping up the day, not for replacing the monthly profit and loss view.

Reports

Can I track sales by employee?

Yes. The staff efficiency report shows revenue, hours, salary, tips, and contribution to profit per employee. It is a Paid report for the owner and accountant.

You can open an employee card in the report to see completed jobs, specialist pay, and material cost for the period.

Can I see which services generate the most revenue?

Yes. The services report breaks down revenue, payroll cost, and material cost by service so you can see which work earns more and which is expensive to deliver.

Use it together with the calendar: popular services should also have enough specialists who can provide them.

Can I track inventory levels?

Yes. The stock on hand report (Paid) shows quantity and value of materials after receipts, sales, and service usage. Value follows average cost from warehouse receipts.

Pair the report with material groups and the catalog so you can see what is running low before a busy day.

Is there a report for client visits and revenue?

Yes. The client report lists visit counts and revenue per client, with a visit log you can filter. It helps you see regular clients and high-value clients without opening every card by hand.

The report is for the owner and accountant. Day-to-day client cards remain available to admins as well.

Pricing and accounts

Is there a free plan?

Yes. The Free plan includes 1 owned business, up to 3 employees, the calendar, clients, services, and basic analytics reports. It is enough to run in-app appointments and a client list.

Online booking, warehouse, material catalog, expenses, salary payments, photos, suppliers, and P&L / cash flow are Paid. Paid features include a 30-day trial, once per account.

Where can I subscribe?

Subscriptions are purchased in the Android or iOS app. You pay per owned business (up to 5). The website and web app show a plan comparison; billing is handled through Google Play or the App Store today.

Start on Free, use the 30-day Paid-feature trial if you want, then upgrade in the mobile app when you need warehouse and financial reports.

How do I cancel my subscription?

Cancel in the store where you subscribed. On Android, use Google Play → Payments & subscriptions → Subscriptions. On iPhone, use Settings → your name → Subscriptions.

Canceling stops the next charge according to store rules. Your owned businesses remain; Paid features follow the plan that is then active.

How do I delete my account?

Account deletion is in the app under Settings. You must remove owned businesses first, because a business cannot stay behind without an owner.

If you only want to leave someone else’s team, you do not need to delete your account — leave or be removed from that business instead.

Platforms and access

Which platforms does LedgerBoss support?

LedgerBoss runs on Android, iPhone, iPad, and the web. Register at app.ledgerboss.app or in the mobile app with email, Google, or Apple.

The same businesses and records are available wherever you sign in, so the owner can work from a computer while specialists use their phones.

What languages is LedgerBoss available in?

LedgerBoss is available in 19 languages in the app and on this website, including English, Ukrainian, Spanish, French, Portuguese, German, Polish, and others.

Choose a language in the app and on the website independently. Business data (names, services, notes) stays as you entered it.

Can I invite employees without sharing my login?

Yes. Create an invite code and assign a system role. The employee registers with their own email or Apple/Google account and joins the business.

They see only what that role allows. You can change the role later or block access without deleting your own account.

Is data separate for each business?

Yes. Each business has its own clients, calendar, staff, materials, and reports. Switching businesses in the app loads that business’s records, not a mixed list.

If you own several businesses, they stay separate even though they share one login. An invite to another owner’s business does not merge the two companies.
